The practice system for Cypriot accountants, with the books built in

From first enquiry to paid fee.

Ledgerline runs the whole practice in one place: the enquiry from your website, the onboarding, every client’s deadlines, the team’s work and time, the books, the VAT and your own fees. One record per client, start to finish. Your clients work in it too, under your firm’s name.

The practice dashboard, with the example practice and its fictional client companies.

1 · Enquiry

Your website, wired to your pipeline.

Drop our form onto your site, or post to the API from the site you have. Every enquiry lands in the pipeline with its source, goes to the right person, and arrives with its first task already due.

  • No inbox to watch. Website, email and referrals arrive in one pipeline.
  • Nobody waits. Unanswered enquiries come back to the top after a day.
  • Won means a client. One press turns it into a customer with books.

2 · Onboarded

Won, signed and set up the same afternoon.

The engagement letter goes out for e-signature, fingerprinted. The due diligence file builds as you go: IDs, beneficial owners, screening against the EU sanctions list, and a risk rating scored the way ICPAC sets out. The client signs and sends documents from one link: no login, no attachments lost in email. Then the books open with the company’s VAT quarters, year end and deadlines.

3 · Deadlines

The deadlines write themselves.

Every client’s VAT returns, VIES statements, provisional tax and company tax return are worked out from their own VAT quarters and tax year, each with the person who looks after it. File the VAT return and its deadline closes itself; anything that slips goes to the top, and onto that client’s home screen.

The practice calendar is the work list. Nothing lives in a spreadsheet on someone’s desktop.

4 · Work

Everyone’s week on one screen. Every hour on a client.

Start the clock on any client from the top bar of any page; it keeps running while you move around. Each person’s week sits against the hours they have, the client time picked out, so you see who is overloaded on Monday, not on deadline day.

5 · Books

The shoebox, sorted.

A month of PDFs, scans and phone photos, for every client, in one drop. Read in Greek or English, checked to the cent, routed by the VAT number on the invoice, drafted as a bill.

  • The bank matches itself. Import the statement and press Match all: 18 of 20 lines, gone.
  • Full double entry. Every company in its own ledger, with a lock date the database enforces.
  • Nothing posts on its own. Sure documents go in one press, after a person says so.

6 · Filed

The VAT 4, filled in before you open it.

Worked out from the ledger, box by box, with the reverse charge in 1, 4, 7 and 11B and a VIES statement that agrees with 8B to the cent. The client approves it with one press before you file through Tax For All. Mark it filed and the quarter locks.

  • Every EU VAT number, confirmed. Each client’s customers and suppliers in other member states, checked live against VIES in one press. Every answer is kept on the audit trail as evidence.
  • A wrong digit never reaches an invoice. Check digits for all 27 states are tested as the number is typed.

7 · Billed

Your fees, from the work you did.

Each client’s monthly fee against the hours its books took, as euros per hour, with your floor drawn on every bar. Then one press invoices the whole month from your own books in Ledgerline: 19% VAT, extra work on its own line, and nobody billed twice.

And your clients are in it too

They run their day. You keep it right.

Each company gets a calm home screen with one main button at a time. Whatever the owner does lands straight in the books you keep, so there is nothing to re-key at quarter end.

Invoices that look like theirs

Their logo, colour and terms on every PDF. Sent from their own email, chased with a reminder.

Quotes that turn into invoices

Accepted means issued: the same lines, on the customer’s own payment terms.

Approve before you file

The owner sees the VAT return in plain words and approves it with one press.

Documents without the chasing

You ask, they upload to a link, it is read and filed against the request.

E-invoices and bill runs

Structured e-invoices to the European standard, and one SEPA file to pay several bills.

The house rules

Balanced, or it doesn’t post.

The rules an auditor cares about aren’t left to good habits. The system keeps them.

RuleHow it’s kept
Every posting balancesAnything that doesn’t is refused by the database. Each company has its own ledger, and a document can only post to its own company.
A locked period stays lockedChecked on every posting, from any screen, import or API call. Corrections go in the next open period.
Every change is on the recordPostings, matches, locks and filings are chained by SHA-256 hashes, with who did each one. The chain is re-checked whenever it is opened.
The AI suggests, people decideIt reads documents and explains the figures from totals alone. Nothing it suggests posts until someone presses the button.
Your data leaves when you doEvery list and report exports, and every invoice downloads as a standard e-invoice. Staying is a choice, not a trap.
